MEMBER'S AGREEMENT

The 369 Chess Club is a community, and we flourish when we all work to create a positive playing culture.


For the avoidance of doubt, when new members join the club, they are expected to follow our 369 Chess Club rules below, which govern gathering for and playing both social and competitive chess, and non-playing gatherings.


These rules apply to all paying and prospective members, and everyone who joins our club environment, regardless of location.


This MEMBER'S AGREEMENT is deemed to be signed by all Members and Prospective Members making use of The 369 Chess Club, prior to and post the payment of Member Fees.


As part of the MEMBER'S AGREEMENT all Members and Prospective Members will be deemed to have given their permission for their names, photographs and the results of any rated chess matches to be shared by The 369 Chess Club for informational and promotional purposes, including online and via social media.


All Members and Prospective Members are expected to follow Safeguarding guidance and expectations as outlined by the English Chess Federation (details of which can be found here) and UK law.


Though we are an Adults-only club, all Members and Prospective Members are also expected to be mindful of children and vulnerable adults, modify their behaviour appropriately and take active steps to ensure the safeguarding and well being of all those in attendance at The 369 Chess Club events and occasions. Any safeguarding concerns must be immediately reported to the Head of Club, who also acts as the Safeguarding Officer.


ENFORCEMENT

Failure to comply with these standards will result in a formal review by the club committee. Sanctions include temporary suspension of league play or termination of membership. Any membership fees will not be refunded. We reserve the right to report any criminal activity or safeguarding concerns.

THE SOCIAL MISSION
Social play at 369 is designed for experimentation, tactical sharpening, and community building. While less formal than League play, the objective remains high-quality chess within a respectful environment.


  1. GENERAL CLUB CONDUCT

Conduct and Safeguarding: Members must not hassle, harass, or pursue unwanted personal relationships with others within or outside the club environment; we maintain a strict zero-tolerance policy regarding the safeguarding of juniors and minors, and all members are expected to uphold these protections at all times.

The Shared Space: We occupy a public venue. Members must be mindful of other patrons. Excessive noise or disruptive behaviour outside the Club playing area affects our standing with the venue.

The "Open Board" Policy: We encourage an inclusive environment. If you see a lone Member or a visitor, offer a game. 369 is built on the exchange of ideas.

Equipment Care: Boards, weighted pieces, and digital clocks are personal Member assets. Always pack away your set and ensure clocks are turned off after use. You are liable for your own equipment and the club may not be able to replace your equipment that is lost or stolen. Ensure you treat other Member's playing equipment with respect and ensure it is returned to them after each game, in the same condition as before play.


  1. SOCIAL GAME ETIQUETTE

Negotiated Time: Before starting a social game, agree on a time control (e.g., 5+3 Blitz or 10+5 Rapid). This prevents "endless" games that block boards.

Spectating: When watching others play, do not comment on the position, point out blunders, or use facial expressions that reveal move suggestions. This is "kibitzing" and is strictly prohibited until the game is over.

The Analysis Zone: Post-game analysis is highly encouraged, but please move to the designated social area if a League match is in progress nearby. Keep your voice at a moderate level.


  1. NO-SMOKING / ALCOHOL POLICY

While we play in a social venue, and players are encouraged to contribute to our venue's bar and food revenue, intoxicated play is not permitted. There is a difference between playing with a pint/glass or two of alcohol and playing or interacting with fellow members when inebriated. Members must maintain a level of decorum that reflects the "369" standard.

Adhere to all venue-specific rules regarding smoking and vaping areas.


  1. PROSPECTIVE MEMBERS AND GUEST POLICY

Prospective Members are welcome to join us and Members bring guests for a few "taster" sessions. However, frequent visitors will be asked to join the club formally to support our infrastructure and equipment costs.

COMPETITIVE ENVIRONMENT

The 369 Chess Club exists to provide a focused, high-standard environment for competitive play. This policy ensures that all interactions uphold the integrity of the game and the club’s reputation.


  1. CONDUCT AT THE BOARD

The Handshake: Matches begin and end with a handshake. It is a baseline acknowledgment of mutual respect and the shared pursuit of a fair game.

Silence: During league play or club sessions, absolute silence must be maintained in the playing area. Analysis should be moved to the designated analysis zone.

Integrity: We adhere strictly to FIDE/ECF Laws of Chess. This includes the "touch-move" rule and the prohibition of external assistance during a game.

Resignation: There is no shame in resignation. If a position is objectively lost, it is more respectful of your opponent’s time to concede than to play on until checkmate.


  1. CLUB ETIQUETTE

Punctuality: Members representing 369 in the Bristol & District Chess League must arrive at least 15 minutes before the clock start.

The Space: We operate out of a shared social venue. Members are responsible for resetting boards and ensuring the area is left clean.

Respect for the Clock: Do not slam the clock. Use the same hand to move the piece and press the clock.


  1. ETHICAL STANDARDS

Fair Play: Any suspicion of engine use or cheating is grounds for immediate, permanent expulsion from the club.

Disputes: In the event of a disagreement, stop the clock and summon the Head of Club or your Team Captain immediately. Their decision is final.
